We are a retirement and financial planning firm headquartered in Atlanta, serving high-net-worth individuals, families, and institutions as a registered investment adviser. To support our advisors, clients, and ongoing growth, we’re seeking a highly capable and adaptable Client Service Associate.
This role requires more than just administrative support—you will be the backbone of our client experience. From onboarding and paperwork to meeting preparation and ongoing service, you bring precision, speed, and a client-first mindset to everything you do. You are tech-savvy, detail-oriented, and committed to excellence with every interaction.
Serve as a primary point of contact for client service requests: account applications, withdrawals, beneficiary updates, and other inquiries—ensuring follow-through to completion.
Collaborate with advisors and clients to process new account paperwork, transfers, and contributions, maintaining accuracy and compliance at all times.
Liaise with custodians (primarily Schwab) to manage account setup, maintenance, and financial transactions.
Perform cashiering duties with high accuracy and efficiency.
Maintain up-to-date client information across internal CRM systems and reports.
Prepare, organize, and manage client documentation and meeting materials.
Continuously improve workflows for operational and client service processes.
Schedule and coordinate internal and external client meetings; monitor follow-up and frequency.
Manage mailing list segmentation and coordinate the delivery of all client communications and materials.
Proactively identify process improvements and support firm-wide initiatives.
Bachelor’s degree preferred.
Minimum of 1 year of experience in financial services, with a focus on investment operations or securities.
Familiarity with Orion, Eclipse, Schwab systems, and CRM platforms (strongly preferred).
Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Strong understanding of account types (e.g., trust, IRA vs. Roth, qualified vs. non-qualified) and related processes.
Outstanding verbal and written communication skills.
Demonstrated ability to prioritize and execute tasks under tight deadlines.
Highly organized with a sharp eye for detail.
